The type of personal information we collect from you:

  • Personal contact details that allows us to contact you directly such as name, title, address, email addresses and telephone numbers.

  • Date of birth.

  • Gender.

  • Membership start and end date.

  • Records of your interactions with us such as telephone conversations, emails and other correspondence and your instructions to us.

  • Payment details you provide (so that we can receive payments from you) and details of our financial transactions with you.

  • Records of your attendance at any events hosted by ourselves.

  • Details of any county membership.

  • Details of next of kin and emergency contacts.

  • Records and assessment of any player rankings, grading or ratings, competition results, details regarding events/matches/games attended and any disciplinary and grievance information.

 

How we get the personal information and why we have it:

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • We typically collect personal information about our members when you apply to become a member of the club, when you attend events as a member of the Club, when you make a query and/or complaint or when you correspond with us by phone, e-mail or in some other way.

 

We use the information that you have given us in order to:

  • To administer any membership you have with us and
    managing our relationship with you, including dealing with payments

  • To send you information, which is included within your membership benefits package, including details about competitions, events, and Newsletters

  • Answer your queries or complaints

  • Retention of records

 

We may share this information with:

  • Any party approved by you. To any governing bodies or regional bodies for the sports covered by our club: to allow them to properly administer the sports on a local, regional and national level.

  • The Government or our regulators: where we are required to do so by law or to assist with their investigations or initiatives.

  • Police, law enforcement and security services: to assist with the investigation and prevention of crime and the protection of national security.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

 

(a) Your consent. You have the right to withdraw at any time your agreement to any of the individual consent options, by writing to The Secretary. If now or at any time in the future you decide that you do not wish to receive information from us, please inform the Secretary by email, by letter, or by using the 'Contact Us' form on the website. Withdrawal of consent will be acted on within 3 months. You can do this by contacting the club scretary

(b) We have a contractual obligation.

(c) We have a legal obligation.

(d) We have a vital interest.

(e) We need it to perform a public task.

(f) We have a legitimate interest.

 

Your information is securely stored in a locked filing cabinet in our locked office.

We will keep your personal information in electronic form or paper based form from the point of collection as long as you are a member of the club. We will then dispose your information after 12 months of ceasing to be member

We may take photographs of you attending matches or other events and we may wish to use them for publishing on our website. Unless you advise us otherwise, you expressly agree and consent to the use of any photographs, which may include you without compensation. We will not use the images taken, or any other information you provide, for any other purpose.

 

We will not include details or full names (which means first name and surname) of any person in an image on our website, on video, or printed publications, without good reason. For example, we may include the full name of a competition prize winner if we have their consent.

 

We will not take or use photographs of under 18’s without written parental permission
